Team Administration Assistant

Our Group Secretariat function is on a journey to ensure we remain ambitious, efficient, agile and nimble whilst offering the very best support to our Chair of the Board, Non-Executive Directors and Executive Committee.

We have a great opportunity for someone to come and work within our team, providing administrative and secretarial support at Board level, in a role which is very varied and fast paced.

About the role

As a Team Assistant you will be required to provide administrative support to the Secretariat team, Group Secretary and Board of Directors.

You will assist in providing full administrative support to manage diaries, monitor email inboxes, arrange internal and external meetings, provision of agendas and organising facilities such as equipment, travel and catering requirements.

You will assist the team in updating gifts and hospitality, training and action logs. You will carry out routine team admin such as purchase orders, expenses, internet and intranet updates, system requests and Companies House submissions. You will assist in sourcing internal and external data and carry out basic research tasks. You will help with archiving electronic and physical records, complete bulk document searches and uploads both internally and to external stakeholders.

You will be required to produce, edit and maintain to a proficient level Word/Excel/Powerpoint documents.

About you

Due to the nature of this role it would help if you have had previous experience in an Administrative/Team Assistant or PA role (or similar) and be great at communicating both verbally and in writing.

You must be highly organised, experienced in working on multiple priorities at the same time, have meticulous attention to detail and be confident working at pace in a busy environment.

This role will really showcase your ability to manage and exchange confidential information at all levels, internally and externally, and importantly you will be dealing with internal and external stakeholders, so representing YBS in a credible and professional manner is really important.

You must have a proficient level of digital literacy across Microsoft applications, in particular Email, Teams, Word, Excel and PowerPoint
